Privacy Policy – PilotExam.in

1. About this Policy

PilotExam.in provides aviation examination preparation resources, primarily for DGCA CPL and ATPL candidates.

This Privacy Policy explains how personal information is handled when you register, use learning resources, submit comments or images, contact us, or arrange paid access.

“PilotExam.in,” “we,” “us,” and “our” refer to the website operator identified as PilotExam.in. Privacy questions and requests should be sent to ranjeet@pilotexam.in.

This Policy explains our practices. It is not a waiver of your privacy rights and does not, by itself, constitute consent to every form of processing.

2. Information provided during registration

Basic registration information consists of your name and email address. Your account also has a user identifier and associated account information needed to recognise your access and activity.

You should provide accurate details and avoid submitting unnecessary sensitive information. Do not send account passwords or authentication codes through email or comments.

Account and learning information are personal data when they identify you or can be linked to you, even where no identity documents or online card details are collected.

3. Learning activity and access records

The platform records activity connected with your use of learning resources. This includes information about pages or resources accessed, interactions with study materials, quiz or examination attempts, assignment activity, and recorded progress.

These records help instructors and administrators:

  • Assess participation and learning progress.
  • Identify subjects or resources requiring further attention.
  • Understand how candidates use notes and assignments.
  • Manage access to free and paid resources.
  • Investigate suspected manipulation, account sharing, or unauthorised content extraction.

Activity records describe interactions with the platform; they do not conclusively prove that a person read, understood, or personally completed a particular activity.

4. Account-linked content identifiers

The platform embeds identifiers linked to a candidate’s user ID within pages and learning content. These are used for content protection and investigation of suspected unauthorised copying or redistribution.

An identifier may allow us to associate a reproduced copy with an account where the identifier remains available. Because it can be connected with your account, it is treated as account-linked information.

Identifiers may be reviewed with other relevant information during an investigation. They are not treated as an infallible record of who personally performed an action.

These identifiers do not provide access to your camera or microphone.

5. Camera, microphone, and screen recording

PilotExam.in does not request or access your camera or microphone.

The platform does not operate screen-recording detection. Learning activity monitoring and embedded content identifiers are separate from recording your screen.

The absence of screen-recording detection does not grant permission to capture or distribute learning content. Content-use restrictions are set out in the Terms and Conditions.

6. Email correspondence and paid-access requests

When you email us, we receive your email address, message, and any information or attachments you choose to provide. Correspondence may concern access, payments, academic support, complaints, or privacy requests.

Paid access is arranged through email. No online payment gateway is currently integrated into the website.

Where you submit a payment reference or evidence of a duplicate payment, that information may be reviewed to confirm payment, arrange access, or investigate the requested refund.

Please share only the information necessary to resolve your request. Do not send passwords, one-time passwords, full card details, or unrelated financial records.

We may send necessary service emails, including relevant reminders, access messages, account notices, and replies to your enquiries. These messages do not create blanket consent to unrelated promotional communications.

7. Comments and Gravatar

When you leave a comment, we collect the information entered in the comment form, together with your IP address and browser user agent string to help detect spam.

An email-derived hash may be sent to Gravatar to determine whether an associated profile image is available. A hash is an identifier derived from an email address; it should not be understood as a guarantee of irreversible anonymity.

After approval, your comment and associated public display information, including a profile image where available, may be visible to people who can access that page.

Gravatar is an Automattic service. Its information practices are explained at:
https://automattic.com/privacy/

Please avoid including contact details, account credentials, financial information, or other private information in comments.

8. Uploaded images and media

If you upload an image, the file may contain embedded information, including EXIF GPS location data.

Remove location information and other unnecessary metadata before uploading. People who can access and download the image may be able to extract metadata contained in it.

Only upload material you are authorised to provide. Do not upload another person’s private information without appropriate authority.

9. Cookies

Cookies are small files stored by your browser. The following describes the website cookie behaviour stated in our existing configuration:

Cookie or featurePurposeStated duration
Optional comment cookiesRemember the name, email address, and website entered in a comment formOne year
Temporary login-page cookieCheck whether the browser accepts cookies; contains no personal dataUntil the browser closes
Login cookiesMaintain the logged-in sessionTwo days

Screen preference cookiesRemember display preferencesOne year
Article editing or publishing cookieRecord the post ID of the article just edited; contains no personal dataOne day

Logging out removes login cookies; it does not necessarily remove every preference or third-party cookie.

You can manage or delete cookies through your browser settings. Blocking cookies used for login may prevent account features from working. Optional comment cookies can be declined by leaving the relevant option unselected.

10. Embedded content and external websites

Pages may include embedded videos, images, articles, or other external content. Loading or interacting with an embed may allow its provider to receive information about your browser and your visit, set cookies, or measure interactions.

If you are signed in to that provider’s service, it may associate those interactions with your external account.

External links and embeds are governed by the relevant providers’ privacy practices. Review their policies before interacting, particularly where the content requires an external login.

Linking to an external service does not mean that PilotExam.in controls that service’s collection or retention of information.

11. Who may receive or access information

Instructors and administrators may access account and learning information for the educational, account-management, and security purposes described above.

The finance team may review information relevant to payments and duplicate-payment enquiries sent to the shared contact email.

Visitor comments may be processed through an automated spam detection service. Gravatar may receive the identifier described in Section 7. If you request a password reset, your IP address is included in the reset email, as described in the existing website policy.

Information may also need to be disclosed in response to a binding legal obligation or valid legal process, or where otherwise lawfully necessary to investigate or pursue a specific legal claim. This does not authorize public disclosure of a candidate’s information as a penalty.

12. Retention of accounts, comments, and activity

We maintain registered account information and associated learning records while the account is retained. Account details can be managed through available profile controls, and administrators can view and manage account information.

Comments and their metadata are retained indefinitely under the current commenting practice, subject to deletion requests and applicable legal requirements. Account deletion should be assumed to remove separately published comments automatically.

When an account and its associated activity records are deleted from the live website, copies may remain in backup files. Deletion from the live website does not mean immediate deletion from every backup.

Backup information is reserved for exceptional access where required for a legal purpose, as described by the operator. It is not intended for routine review of deleted learning activity.

Records that must lawfully be preserved for a specific legal requirement or dispute may need to be retained for that purpose. Retention must not be extended merely by labelling all information “administrative” or “security” data.

13. Access, correction, and deletion requests

If you have an account or have submitted a comment, you may email ranjeet@pilotexam.in to request:

  • Access to or an export of personal information held about you.
  • Correction of inaccurate account information.
  • Deletion of your account or specified personal information.
  • Removal of a comment or uploaded item containing your personal information.
  • Information about the handling of your request or a privacy complaint.

Available profile controls also allow you to review and edit account details. Username changes may not be available through those controls.

Please contact us from your registered email address where possible and describe the request clearly. Any identity check should be proportionate to the request and the risk of disclosure; do not send sensitive identification documents unless a justified need has been explained.

Deletion may affect access to courses and the availability of progress records. It does not automatically establish eligibility for a refund.

Requests are subject to applicable law, including justified retention requirements and protection of other people’s information. Applicable statutory response deadlines govern where they apply.

14. Consent and choices

Where processing relies on consent, you may request withdrawal by emailing ranjeet@pilotexam.in. Withdrawal does not retrospectively invalidate processing lawfully carried out before withdrawal.

If information is necessary to provide an account or a requested feature, declining to provide it or requesting its deletion may mean that the relevant service cannot continue.

Consent withdrawal does not prevent retention or processing that has an independent lawful basis under applicable law.

Using the website does not constitute unrestricted consent to undisclosed tracking, unrelated marketing, or access to your camera or microphone.

15. Candidates under 18

Candidates under 18 are permitted to register, subject to applicable law.

Processing children’s information requires particular care. Where the law requires parental or guardian consent, age checks, restrictions on behavioural monitoring, or other safeguards, those requirements apply independently of these Terms and this Privacy Policy.

A general statement that a parent agrees does not replace a legally required verification process. Educational activity tracking must not be assumed exempt from child-data restrictions merely because the platform provides learning resources.

Parents or lawful guardians may contact ranjeet@pilotexam.in regarding a child’s account or information, subject to proportionate verification of their authority.

16. Security and your responsibilities

Account passwords should be kept confidential, and shared devices should be logged out after use. Contact ranjeet@pilotexam.in if you suspect an account compromise or inappropriate disclosure of information.

No website can guarantee that all security incidents will be prevented. This does not remove PilotExam.in’s obligations to protect personal information or take action required by applicable law.

Where a personal-data incident triggers a legal notification requirement, the applicable requirements govern notification to affected individuals or authorities.

This Policy does not claim any unverified encryption standard, security certification, or continuous surveillance capability.

17. Updates to this Policy

Changes will be published on this page with an updated effective date. Material changes to the handling of personal information should be communicated through an appropriate notice.

Where a new purpose or processing activity requires fresh consent or a separate notice under applicable law, publication of an amended policy alone is insufficient.
